A practical, responsible AI rollout across a creative agency

Challenge

Staff at this 60-person agency were already using AI tools informally, but with no shared approach. Quality was inconsistent, sensitive client information was at risk of being shared with public tools, and leadership had little visibility of how AI was being used.

Solution

We combined an AI-for-managers session for the leadership team with practical prompting and responsible-use workshops for staff. Together we defined clear use cases, a simple responsible-use policy, and a shared library of prompts tailored to the agency's services.

Outcome

The agency now has a consistent, confident approach to AI — faster first drafts and research, with clear guardrails around client confidentiality. Leadership reports better visibility, and staff feel supported rather than left to figure it out alone.

The turning point was pairing enablement with guardrails. Rather than banning or ignoring AI, the agency gave people permission to use it well — with a clear policy on what could and couldn’t be shared with public tools.

The shared prompt library became a living asset, growing as teams discovered workflows worth standardising.
